Chief of Staff

Job description

We are looking for a talented and highly motivated individual to join our team and manage day-to-day operations and hiring. This position will report directly to the CEO.

About illumis:

We started Vigilant with a clear problem in mind: government records are far too difficult to access. This impedes transparency, and makes it harder for people who need access to this information to do their jobs.

 

We build tools for transparency that help our users access public information, put it into context, and make use of it. We bat well above our weight - we're a small but rapidly-growing company with customers that include some of the largest financial institutions, media companies, political campaigns, and nonprofit organizations in the world. Our customers use our products to solve a wide range of problems – from avoiding conflicts of interest and ensuring compliance regulatory requirements, to deep-dive investigations into firms, and vetting for potential reputational risks.

The Opportunity:

We’re an early stage startup and you’ll wear a lot of hats in this role. We’re looking for someone who is stoked about that opportunity for growth. As we scale up, you’ll be working alongside our CEO to figure out how everything works and what our systems should look like. While you’re definitely someone that loves building systems, you’re also nimble and flexible and understand that an early stage startup might not have much in the way of systems.

 

You’ll be focused on helping build the team, keeping the organization aligned, and ensuring things are taken care of as we grow. There will be a lot going on – and a lot to figure out – and we hope you’re excited by that opportunity.

 

 

In this role, you will:

  • Ensure coordination across the organization – making sure information is distributed appropriately and teams are aligned.
  • Help build our team – source and screen candidates for both technical and non-technical roles, and organize and orchestrate an effective interview process.
  • Be point on company operational elements, including benefits management, employee onboarding, contracting, corporate and legal operations, and expense management.
  • In the months ahead, help our team navigate the interruptions posed by COVID-19 and hopefully, help us transition back to regular operations in a physical office as soon as it is safe to do so.
  • Work with outside accountants, organize reporting of financial metrics, execute payroll and accounts payable, and track accounts receivable.
  • Provide executive support, including project management, occasional scheduling and special projects for the CEO

 

 

 

 

 

Job requirements

The Skill Set

  • Our team is open to a variety of levels of experience for this role (eg mid to senior), but ideally 3+ years of experience in Operations, Political Fundraising, Recruiting, Account Management, Business Development, or another role related to business operations that requires you execute on multiple tasks simultaneously. We expect that you’ll learn on the job, but this is not an entry level job.
  • Exceptional organizational skills
  • Comfortable operating with ambiguity, but great at developing structure and processes as the situation requires.
  • Exceptional written, verbal and presentation skills, good with numbers, and very strong attention to detail.
  • Great execution - you follow through and do what you say, and you have a bias towards action; you tie up loose ends and don’t allow unfinished tasks to linger.
  • Bachelor’s degree or equivalent professional experience.
